Terms & Conditions

These terms are a contract between you (the client) and Chicago Book Clinic. When you place an order with us, that is, when you make a payment for a service, you are taken to have read, understood and agreed to the terms on this page. If you do not agree with them, please do not place an order.

Our services

We help authors write, edit, design, publish and market books: ebook writing, ghostwriting, editing, proofreading, formatting, cover design, publishing, marketing, audiobook production, author websites, book video trailers, and article, blog and content writing, among others. What exactly we will do for you, by when and for how much is set out in the written proposal or invoice you accept before work begins. That document, together with these terms, is the whole agreement for your project. We do not publish prices on this website; every quote is given in writing and is specific to your book.

Original work only

Written work we deliver is original and free of plagiarism. On request we supply a Copyscape report with it. (Text inside images, video or other media that search engines cannot read is not covered by such a report.) If you want a more thorough check than Copyscape provides, you are welcome to run one yourself; it is not included in our standard pricing.

You own the finished work

Every order you place and pay for in full becomes your property when it is delivered to you. The finished manuscript, cover, files and other deliverables are yours: you may publish them under your own name, in any format, anywhere, and use them however you wish. We do not ask for an acknowledgement and we do not take any share of your copyright or royalties. We will not show your work as an example of ours without your permission. Until an invoice is paid in full, the work it covers remains ours.

What we need from you

You agree to give us the material, information, access and feedback we ask for, in reasonable time, so that the project can move. You confirm that anything you give us (manuscripts, images, quotations, accounts and so on) is yours to use, or that you have the right to use it, and that it does not break the law or anyone else's rights. You are responsible for the final content of your book. If a delay is caused by missing input, late answers or unclear instructions on your side, any dates we gave you move accordingly.

Revisions

Your satisfaction matters to us. Within the agreed scope of your service, whether editing, design, formatting or consultation, we offer unlimited revisions, and we keep refining and adjusting with you until your expectations are met. A request that goes beyond the agreed scope (a new chapter, a different book, a second cover concept after one has been approved) is new work and is quoted separately.

Images

We respect copyright and do not use copyrighted images without a licence. Where a project calls for images we do not own, we will suggest sources and links so that you can choose and license them yourself, or you may use royalty-free images. Fees for licensed images, where needed, are yours unless the proposal says otherwise.

Payment

Payment is made through the secure payment link or invoice we send you, processed by Stripe, in US dollars unless the invoice says otherwise. Work on a project, or on a stage of it, begins once the payment for that stage has been received. Where a project is split into milestones, each milestone is invoiced and paid before the next begins. Your card details are handled by Stripe and are never seen or stored by us.

Refund policy

At Chicago Book Clinic, we are committed to delivering high-quality content and services to our clients. Because our work is customized and creative, refunds are subject to the specific terms below, which protect the interests of both the client and the company. This policy outlines the conditions under which a client may or may not be eligible for a refund.

Refunds based only on work discrepancy

Refunds may only be considered if the delivered work clearly and substantially fails to meet the documented and agreed project requirements. In such cases:

  • Clients must first allow Chicago Book Clinic the opportunity to resolve the issue through revisions, rewriting or reassignment.
  • Only if the final output remains unsatisfactory after all revision options are exhausted may a partial refund be discussed.
  • Any refund processed will not exceed 40% of the total amount paid.

Strictly no refunds in the following cases

Refunds will not be issued in the following circumstances:

  • Dissatisfaction based on subjective preferences such as tone, style or voice (unless explicitly documented in the initial order).
  • Delays or issues resulting from client-side non-cooperation, such as missing input, late responses or unclear instructions.
  • If the client publishes or uses the delivered work in any form.
  • Minor errors such as grammar, formatting or citation issues that can be addressed through revisions.
  • Marketing and publishing services, if the client fails to provide the platform access (for example Amazon or social media accounts) required to carry them out.

Refund claim process

  • All refund claims must be submitted in writing to info@chicagobookclinic.com.
  • Claims must include clear reasons and supporting evidence (for example the original brief, version history and the communication trail).

Refund decisions are made solely at the discretion of our Finance and Compliance Department after a detailed review.

Change of mind policy

At Chicago Book Clinic, we take pride in delivering high-quality publishing services tailored to each client's needs. Once a project is initiated, we immediately dedicate time, resources and specialized team members to it.

Therefore, refunds will not be issued where a client has a change of mind after services have begun. This includes instances where a client reconsiders their publishing goals, delays the project for personal reasons, or decides to work with another service provider.

That said, our top priority remains your satisfaction. To ensure you are fully happy with the outcome, we offer unlimited revisions within the agreed service scope, whether it is editing, design, formatting or consultation. Our team is committed to working closely with you, refining and adjusting as needed until your expectations are met. If you have any concerns or wish to discuss your project, we encourage open communication and invite you to reach out at any time.

Chargebacks and disputes

We encourage open and professional communication in case of any dispute. Initiating a chargeback without prior discussion with our team will void all rights to a refund. In such events, Chicago Book Clinic reserves the right to:

  • Block future services to the client.
  • Pursue legal action to recover lost funds.
  • Report the incident to the appropriate authorities and agencies.

Final decision and refund limits

  • The maximum refund amount is capped at 40% of the total order value.
  • Refunds are not automatic and are only processed after a formal review.
  • Refunds, if approved, may take up to 90 business days to reflect in your account.

Confidentiality

Your manuscript, your ideas and everything else you share with us about your book are confidential. We show them only to the members of our team who are working on your project and to the service providers named in our Privacy Policy, who are bound to keep them confidential too. We do not announce that you are a client, or that we worked on your book, unless you say we may. The same goes the other way: our proposals, methods and internal materials are confidential to you.

Limitation of liability

Please read this clause carefully. Chicago Book Clinic shall not be liable for any indirect, incidental or consequential loss, including lost sales, lost profits or loss of reputation, claimed to have resulted from the use of this website or of the services and products sold through it. This also applies to any virus or other harmful code allegedly obtained by using this website or our files. Our total liability to you for any claim connected with a project is limited to the amount you paid us for that project. Nothing in these terms limits liability that cannot be limited by law.

We do not promise that your book will sell, be accepted by any retailer or platform, win any award or reach any ranking. Publishing and marketing services are delivered with care and skill, but their results depend on many things outside our control.

Privacy

How we handle your personal information, including the payment details handled by Stripe and the cookies this site uses, is described in our Privacy Policy, which forms part of these terms.

Governing law

These terms, and any dispute arising from them or from our services, are governed by the laws of the State of Illinois, United States, without regard to its conflict-of-law rules. Before taking any formal step, both sides agree to try in good faith to resolve the matter by talking to each other.

Changes to these terms

We may update these terms from time to time; the current version is always the one on this page. The terms that apply to your project are the ones in force when you placed your order.
